Terms and Conditions

By signing this disclosure you confirm that you have read and understand our Payment Schedule, Tour Revision, Cancellation and Refund policy and our Limitations of Liability. By signing this form you are agreeing to be bound by our Terms and Conditions herein described. Following the receipt of this disclosure of our Terms and Conditions signed by you you’ll be given the final confirmation of your booking.
At the time of tour booking, you must pay a deposit in the amount of 25% of the tour price or $600 minimum. The balance of the tour land cost must be paid no later than 75 days prior to your tour starting date. For a tour departing within 75 days of your tour booking, and which has not yet been closed, a tour payment in full is required immediately.
Tours quoted in EURO or other currencies: Due to the volatility of the exchange rates, all tours quoted in EURO (or any other foreign currency, where applicable) will be billed in USD at the EURO wire rate current at the time of the tour cost final payment. Deposits or down-payments will be billed in USD.
Any airfare reservations made on your behalf where these are part of your tour itinerary are subject to availability and can not be confirmed without payment, hence, a ticketing payment in full may be due, where necessary, at the time of booking your tour plus any additional wire fees/charges, if any, we incur needing to remit funds to initiate the air reservations on your behalf. All airfare reservations made on your behalf are subject to refund policies and fees assessed by the carriers on which your reservations are made; additionally, where applicable, FTG refund policies will apply (see under Refunds).
Please note that unless your air-ticketing is part of the tour arrangements, we need to book your air-ticketing directly into the travel-agent-trade-only booking system and must use your credit card to pay for the ticketing!
Credit Card Payments:
Our tour prices are quoted Net Per Person hence imply payments by personal check or money order for our US-based clients. You can pay also by a major credit card at an additional cost that banks charge us: for credit card payments on US banks please add 3.5% to the amount of your tour funds due. Our Canadian clients, European clients and all other overseas clients, paying by a credit card issued on foreign banks, please add 4.5% to your tour funds due. To pay by a credit card, please use the PayPal secure server, the only credit card system we accept payments through, at our website (Payment Center.)
All payments must be made in US dollars.
Bank Wire Transfers:
The preferred mode of payment for our Canadian and overseas clients is either by credit card (per the requirements above) or by bank wire transfer. As on credit card payments, the tour funds due are Net and wire fees, if any, charged by your bank are for your own account only. Additionally, please do note that all International Wire Transfers are typically assessed a charge of $35 per wire by your bank's correspondent bank and we require you add this fee to your tour funds due you'll be remitting by bank wire transfer to us! Based on this fact it’s at your best interest to make a single wire to us for all members of your Private Tour group, rather than each member of the group making a separate wire in which case each wire transfer will be subject to the extra $35 wire fee. Domestic Wire Transfers to our bank from your account within the United States are subject to no additional charge.
You can make changes to your reservation, transfer to another tour without penalty up to 120 days prior to departure subject to $250 administrative charge. Anytime after that, your initially booked tour will be subject to our applicable cancellation fees.
Additionally, all air reservations are subject to refund/change policies and fees assessed by the air carriers.
Cancellations and Refunds:
All cancellations must be received in writing or by fax and are effective at the date of receipt. Refunds are processed within 45 days after we receive your letter of cancellation and the following charges apply:
More than 120 days before departure: $250 per person, plus any
applicable disbursement charges, such as wire charges and similar,
if any, we have incurred with your reservation and will incur with
having to cancel your reservation. Refunds by check are at no
additional charge. Refunds by wire transfer will be assessed
applicable wire charges.
There is no refund for "no-shows," for any unused services or for any portions of land arrangements that are missed, nor for cancellations made after the start of the tour.
Additionally, all air reservations are subject to refund policies and fees assessed by the air carriers.
Please note that signing up for one of our tours you are no longer required to carry a medical, evacuation and cancellation insurance although on certain of our adventure tours, namely trekking itineraries, we still require you to present us with a proof you are covered as it is either mandatory in order obtain Trekking Permit, or we may require that you are covered!
We routinely provide all of our clients with links to underwriters that offer comprehensive travel insurance coverage, including medical, evacuation, trip cancellation, interruption, delay and baggage protection policies. The costs are very affordable, often very nominal, and we are happy to recommend these policies not only to our American clients but also to our clients from Canada, Europe, and the rest of the world and many of them do purchase directly online from these insurance companies - please remember it’s your health and travel investment your are covering and all for your peace of mind!

If you chose to travel uninsured, our Liability Disclaimer under our Terms and Conditions acknowledges you will be traveling at your own risk.
All accommodation, whether in hotels, guesthouses or tents, is based on double occupancy. If you are traveling alone, we will do our best to assign you a roommate. If you prefer single accommodations, you will be billed the Single Supplement charge applicable as charged by different accommodation suppliers.
In the event that you prefer to share accommodations but there is no one available and you insist on going, you will have to pay the Single Supplement fee.
Passport and Visas:
Obtaining a passport as well as any other necessary visa is your responsibility!
If you do not have a passport, please go to www.travel.state.gov/ - the US State Department site, where you can find all the particulars concerning passport issuance, replacement and other services.

For those of you that will be taking part in our trekking tours that will take you into altitudes above 4,500 meters/14,000 feet, you should be familiar with the prevention, recognition, and treatment of altitude illness including shortness of breath, restlessness or sleeplessness at night, and headaches as well as other health dangers potentially arising from trekking at high altitude. Please do note that for some treks we will require proof of your medical fitness, a thorough physical exam and certification from your doctor that you have no general medical problems that could result in any potentially serious medical consequences while on a high altitude trek.
Trekking at high altitudes is strenuous and you must be in top physical shape in order to endure up to eight hours of trekking over steep and often rocky terrain. To be able to sustain and hopefully enjoy such a demanding exercise, you need to possess good cardiovascular endurance and muscular strength. In order to prepare yourself for your trekking tour you should undertake regular aerobic exercise or training that includes jogging, cycling or swimming, exercising 3 -5 times per week for at least six months prior to your trip.
Limitations of Liability:
Our Terms and Conditions govern the relationship between you, our client, and Footloose Travel Guides, LLC. By booking a trip with us, you agree to be bound by these Terms and Conditions. Although Footloose Travel Guides, LLC makes the arrangements for the tours we offer, our responsibility is limited. Footloose Travel Guides, LLC organizes, promotes, and sells tour programs. Footloose Travel Guides, LLC is involved in the booking of the said tours but does not act as an agent for any party whatsoever. The limits of our responsibility arise from the fact that we use independent contractors, may those be independent tour operators, hotel companies, transportation companies and drivers and other ground operators and suppliers who are not our employees. Footloose Travel Guides, LLC acts only on behalf of these companies and/or their owners, operators or contractors providing services. Because we do not own, cannot manage, control or supervise their services we cannot be liable for any acts or omissions, including any negligence, gross negligence, or reckless or willful acts, on their part. By accepting and utilizing the services of said other operators and contractors, tour participants agree that neither Footloose Travel Guides, LLC nor its representatives shall be held liable for any injury, loss, damage, delay, or death to person or property arising from the negligent or willful act or failure to act of any person who is to or does provide goods or services for this trip or for the action or inaction of any other third party. Participating in said tours catered by said other operators and contractors, the tour participants will be subject to the terms and conditions specified by these operators and contractors if any. Without limitation, Footloose Travel Guides, LLC is not responsible for acts of God, equipment failures, vehicle accidents, illness from food or otherwise, detention, assaults, theft or criminal activity, annoyance, delays, quarantine, strikes, failure of any means of conveyance to arrive or depart as scheduled, civil disturbances, terrorism, government restrictions or regulations, and discrepancies or changes in transit or hotel services over which it has no control. Footloose Travel Guides, LLC reserves the right to make changes in the itinerary where deemed advisable for the comfort, well-being and safety of the passengers. The right is reserved to change or substitute hotels, alter the itinerary, reverse the order of places to be visited, or to cancel the tour. Footloose Travel Guides, LLC is not responsible for expenses incurred by tour members in preparation for the trip (e.g. non-refundable advance purchase air tickets, visa fees, equipment, medical expenses, etc.) or for any other necessary additional travel arrangements incurred by those that embark from home for the destination before the tour departure date.
“I am aware that there are inherent risks in adventure travel activities. I understand the physical difficulty of the tour and acknowledge I am in good health. I hereby assume all risks of illness, injury or death and release Footloose Travel Guides, LLC from all liability, actions, causes of actions, depths, claims and demands of every kind which may arise as a result or in connection with my trip or participation in any activities arranged for me by Footloose Travel Guides, LLC. I agree that the foregoing obligation shall be binding on me personally; as well as my heirs, executors and administrators and all members of my family. I have read, understand and accept the Terms and Conditions and the Limitations of Liability as described in this form.”
